Executive Assistant to School Founders

Start Date: April 2020

Roles and Responsibilities

  • Act as liaison for the Founders with the school community

  • Manage information flow in a timely and accurate manner

  • Schedule calendar and make all meeting arrangements

  • Assist school functions in coordinating logistics for various special events such as Family Evenings, Staff Training Meetings, Field Trips, Opening & Closing Ceremonies, Potlucks, Weekend Community Events, Graduation, etc.)

  • Participate in planning of All School Meetings, including contacting and securing services of speakers and providers

  • Drafts letters for signature based on notes or other direction given

  • Coordinate travel arrangements

  • Rack daily expenses and prepare weekly and monthly reports

  • Act as coordinator for support staff and third-party suppliers; oversee their work performance and adhesion to school regulations.

  • Act as an office manager by keeping up with office supply inventory, contacting, and maintaining a good relationship with suppliers

  • Format information for internal and external communication – memos, emails, presentations, reports, photographs, etcetera

  • Take minutes during meetings

  • Screen and direct phone calls and distribute correspondence

  • Organize and maintain the office filing system

  • Plan and execute special programs/projects as assigned

  • Cheerfully and efficiently support the goals of the school in a variety of un-anticipated ways



  • Positive can-do attitude

  • Bilingual English/French

  • Discretion and confidentiality

  • Excellent organizational, writing, and editing skills in English and French

  • Ability to take initiative and anticipate the needs of the office to make the work of the Founders more efficient

  • Ability to work with a wide range of individuals and to interact cheerfully and professionally with the public, families, and staff

  • Excellent MS Office, Google Docs, knowledge (QuickBooks a plus)

  • Outstanding organizational and time management skills

  • Familiarity with office equipment such as scanners, copiers, Mac laptops

  • Excellent verbal communication and interpersonal skills

  • Bachelor or Master degree
